This guide provides step-by-step instructions for working with PDF templates.
Creating a Template
To create a new template from scratch:
- Open any portfolio and click PDF
- Make your desired changes (add/remove pages, modify layouts, etc.)
- Notice "Unsaved" appears next to the current template name
- Click "Save"
- Select "Save as new template"
- Enter a name for your template
- Click "Save"
Your template is now available in the template dropdown for all portfolios.
Editing an Existing Template
To update a template:
- Select the template from the template dropdown
- Make your changes
- Notice "Unsaved" appears
- Click "Save"
- Choose to save to the same template (to update it) or save as a new template
Any portfolio using this template will see the changes next time it's loaded.
Applying a Template to a Portfolio
To use an existing template:
- Open a portfolio and click PDF
- Click the template dropdown
- Select the template you want to apply
- The layout updates immediately
Managing Templates
To view and organize your templates:
- Click the template dropdown
- Select "Manage templates"
From here you can:
- Rename - Click the template name to edit it
- Delete - Click the X icon to remove a template
- Set as Preferred - Check the "Preferred" box (see below)
Setting a Preferred Template
A Preferred template automatically loads for new portfolios or portfolios without specific settings.
To set a Preferred template:
- Go to "Manage templates"
- Check the "Preferred" checkbox next to your template
- Only one template can be Preferred at a time
When it loads:
- Your Preferred template loads when opening a portfolio that has:
- No portfolio-specific settings saved
- No previously used template
When it doesn't load:
- If a portfolio has portfolio-specific settings ("This Portfolio Only"), those load instead
- If you previously used a different template with that portfolio, that template loads instead
Understanding What Loads When
When you open a portfolio, Kwanti loads settings in this order:
- Portfolio-specific settings (if saved with "This Portfolio Only")
- Last used template (if you used a template with this portfolio before)
- Preferred template (if set and nothing else applies)
- Kwanti Default Template (if nothing else applies)
The Kwanti Default Template is Kwanti's standard layout and cannot be modified.
Saving Options Explained
Every time you have unsaved changes, clicking "Save" gives you three options:
This Portfolio Only
- Changes save to this specific portfolio
- Template dropdown shows (none) next time you open this portfolio
- No other portfolios are affected
- Message displays: "The current PDF format applies to this portfolio only"
Save as New Template
- Creates a new named template
- Available in template dropdown for all portfolios
- Doesn't affect the current portfolio's template setting
Save to Existing Template
- Updates an existing template with your changes
- All portfolios using that template see changes next time they're loaded
- The current portfolio now uses this updated template
Tips
- Name templates clearly - Use descriptive names like "Monthly Client Report" or "Q4 Executive Summary"
- Use Preferred for efficiency - Set your most common layout as Preferred to save time
- Portfolio-specific when needed - Use "This Portfolio Only" for unique, one-off customizations
- Watch for "Unsaved" - This indicator shows when you have changes that need to be saved
- Templates vs. Portfolio Settings - Templates are reusable; portfolio settings are one-off
Common Workflows
Setting up a standard template for new clients:
- Create your layout in any portfolio
- Save as new template (e.g., "Standard Client Report")
- Mark it as Preferred
- New portfolios automatically load this template
Making a one-time change for a specific portfolio:
- Open the portfolio
- Make your changes
- Save to "This Portfolio Only"
- This portfolio keeps its unique layout without affecting others
Updating your standard template:
- Load the template in any portfolio
- Make your improvements
- Save to the existing template
- All portfolios using this template get the updates
